What Is a POS System and What Does It Actually Do?

A practical explanation of POS software, checkout, inventory and reporting for business owners.

2026-09-09

A point-of-sale system is the place where a business records a sale. Modern POS software goes beyond printing a bill: it can connect the transaction with products, inventory, customers, employees and reports.

What happens during a sale?

A cashier selects or scans a product, the system calculates the total, payment is recorded and a receipt can be issued. When POS and inventory are connected, the stock quantity can also change automatically.

Why does that matter?

The biggest benefit is not the receipt. It is the reliable history created by every transaction. A business owner can review what sold, when it sold and how sales affect stock instead of rebuilding the day from handwritten notes.

What should a small business look for?

Prioritize fast checkout, simple product management, inventory visibility, useful reports, reliable support and hardware compatibility. A longer feature list is not automatically a better system if staff cannot use it confidently.
